Client onboarding that transforms strangers into returning clients
Overview
Clients aren't observers. They're partners.
I treat my freelance work as a fully-functioning business. But whether I'm working as a business owner or an employee, one thing stays the same: I believe that clients and stakeholders should feel in partnership with the creative professionals they work with. The process I built doesn't begin with a payment. It begins from "hello."
What I built
Reinforcing clarity and strong relationships
I'm a big believer in "project portals," because they centralize work tracking, scope management, feedback, and an iterative paper trail in a transparent way. Taking the best of project management software I've used in other roles, such as JIRA, Asana, Wrike, and Shortcut, I've incorporated briefs, task boards, and ticket assignments into my own business's workflow. The client doesn't just feel like a bystander—they feel like part of the team.

Why it matters
Intake
Linkedin / Instagram / other network DM, Tally form with qualifying questions and important data retrieval, warm lead
Turns an idea into action, but also creates rapport as a relationship introduction
Discovery call
Discussion of the problem at hand, or audit existing brand / product state
Sets the precedent for a potential relationship, and allows space for either mutual alignment or disqualification
Planning / Scoping
Creative brief and/or Statement of Work (SOW), payments & contracts
Sets expectations, success metrics, and gives space for a true discussion for the overall vision of the project
Resourcing
Client Portal
Creates a centralized place to track mutual collaboration and iteration
Provides visibility into works in-progress and being finalized
Review & Approval
Fixed number of async and/or live reviews as-scoped
Fine-tunes alignment over the course of the process instead of at the very end so that there are no surprises
Closing
Invoicing
Balances are settled before final delivery (but after deliverables have been approved) for mutual accountability
Delivery
Final assets production-ready and/or organized in a pre-determined file structure
Easy-to-work-with, reusable, modular hand-off for high partner autonomy
Outcomes & learnings
Clients come and go. Partners are forever.
I don't gatekeep creativity. And I think that's opened my business and career up to lasting relationships with the clients, stakeholders, and team members who work with me. Every process I build exemplifies this value: Amazing, creative ideas can come from anyone, anytime. And, when lightning strikes, it's the professional creative who knows it when they see it.
Don't take my word for it:
Julie Kesler, Founder of Second Life Candles, talks about how my process helped her here:
"Rashmi runs a tight ship, top to bottom! I went in with a lot of questions and a few vague ideas, and she steamrolled right through all of the confusion. She took my disconnected brand concepts and turned them into something stunning, leaving room for collaboration and discussion the whole way. Even though I’ve had an insanely chaotic month during this process, her professionalism, and timelines, and clear asks and action items kept us on track for a really big and tight deadline. Could not recommend more enthusiastically."
